Data Entry

Data Entry

scoped provides two methods for capturing emissions data: activity-based entry using guided forms and spend-based upload using financial data. This page covers both methods and all supported categories.

Activity-Based Entry

Activity-based entry uses physical quantities (kWh, litres, km, kg) to calculate emissions. This produces the most accurate results and the highest data quality scores.

Navigate to DataActivity-Based and select a category below.

Buildings & Energy

Electricity

Enter your electricity consumption in kWh. scoped supports both Scope 2 accounting methods:

  • Location-based — Uses the average grid emission factor for your country or region
  • Market-based — Uses your electricity supplier's specific factor or a contractual instrument (e.g., guarantee of origin, REC)
FieldDescription
PeriodYear and optional month or quarter
AmountElectricity consumed (kWh)
Scope 2 MethodLocation-based or market-based
Contractual InstrumentIf market-based: name of the instrument
EvidenceUpload invoice or meter reading

Heating & Fuels

Enter fuel consumption for stationary combustion (e.g., natural gas, heating oil, biomass):

FieldDescription
Fuel typeSelect from the fuel database (natural gas, diesel, LPG, etc.)
AmountFuel consumed in the appropriate unit (kWh, litres, m³, kg)
EvidenceUpload invoice or delivery note

Fuel emissions include both direct combustion (tank-to-wheel) and upstream well-to-tank (WTT) emissions. scoped calculates both automatically.

Refrigerants

Enter refrigerant losses or top-ups for cooling and air conditioning systems:

FieldDescription
Refrigerant typeSelect from the refrigerant database (R-410A, R-134a, etc.)
AmountMass lost or recharged (kg)
EvidenceUpload service report

Refrigerant emissions are calculated using the Global Warming Potential (GWP) of the specific gas, based on your organization's GWP set policy (AR4, AR5, or AR6).

Business Travel

Flights

Enter air travel by specifying the route and cabin class:

FieldDescription
Origin / DestinationAirport codes or city names
Cabin classEconomy, premium economy, business, or first class
Number of tripsRound trips or one-way
EvidenceUpload booking confirmation or expense report

Cabin class significantly affects per-passenger emissions due to the space each seat occupies. Business class can emit 2–3x more per passenger than economy.

Ground Travel

Enter business travel by car, rail, or other ground transport:

FieldDescription
Vehicle typeSelect type (car, rail, bus, etc.)
DistanceDistance travelled (km)
Fuel type / powertrainICE, hybrid, PHEV, BEV, or FCEV
EvidenceUpload expense report or mileage log

For electric vehicles (BEV), emissions are calculated using the grid emission factor for your region. For plug-in hybrids (PHEV), scoped splits the calculation between electric and combustion modes.

Hotels

Enter hotel stays for business travel:

FieldDescription
CountryCountry of the hotel
Number of nightsTotal room-nights
EvidenceUpload booking confirmation

Employees

Commuting

Enter employee commuting data using one of two approaches:

  • Survey-based — Collect actual commuting data from employees (transport mode, distance, frequency)
  • Average-based — Use average commuting patterns based on your workforce size and location
FieldDescription
MethodSurvey or average
Transport modeCar, public transit, cycling, walking, etc.
DistanceAverage one-way distance (km)
Working daysNumber of commuting days per year
Number of employeesWorkforce size (for average method)
EvidenceUpload survey results or HR data

Waste & Water

Solid Waste

Enter waste generated by your operations:

FieldDescription
Waste typeGeneral waste, recycling, compost, etc.
AmountMass of waste (kg or tonnes)
Disposal methodLandfill, incineration, recycling, composting
EvidenceUpload waste manifest or contractor report

Wastewater

Enter wastewater treatment data:

FieldDescription
VolumeWastewater treated (m³)
Treatment typeAerobic, anaerobic, etc.
EvidenceUpload utility bill or treatment report

Water Supply

Enter water consumption:

FieldDescription
VolumeWater consumed (m³)
EvidenceUpload utility bill

Procurement

Purchased Goods & Services

Enter procurement data by quantity or spend:

FieldDescription
DescriptionWhat was purchased
MethodQuantity-based or spend-based
AmountQuantity (kg, units) or spend (EUR)
CategoryGoods or services
EvidenceUpload invoice or purchase order

Capital Goods

Same structure as purchased goods, but for capital equipment with a longer useful life.

Transport (Municipalities Only)

⚠️

This category is only available for municipality organizations and maps to GPC Sector II (Transportation).

Enter community transportation data:

FieldDescription
MethodVehicle-kilometres travelled (VKT) or fuel consumption
Vehicle typeCar, bus, HGV, rail, etc.
AmountVKT (km) or fuel (litres)
EvidenceUpload traffic survey or fuel records

For heavy goods vehicles (HGV), scoped accounts for laden percentage in the emission calculation.

Spend-Based Upload

If you do not yet have detailed activity data, you can upload financial spending data for a quick emissions estimate.

How It Works

  1. Navigate to DataSpend Upload
  2. Upload a CSV or Excel file (.csv, .xls, .xlsx) containing your spending data
  3. Map columns — scoped will ask you to match your file's columns to the required fields (description, amount, currency, category)
  4. Review the category mappings — scoped automatically matches spending categories to emission categories
  5. Import — scoped applies EEIO (environmentally extended input-output) factors to estimate emissions

Supported Factors

Spend-based emissions use the US EPA Supply Chain GHG Emission Factors (NAICS-based, USD 2022). Currency conversion is applied automatically.

Import History

All spend uploads are tracked in the import history. You can review past imports, see which activities were created, and re-import if needed.

Spend-based estimates are a great starting point but have higher uncertainty (±30%). Replace them with activity-based entries over time to improve your data quality score.

Evidence

Every activity entry in scoped can have evidence attached — supporting documents that verify the data.

Supported Evidence Types

  • Invoices and bills
  • Meter readings
  • Utility statements
  • Delivery notes
  • Expense reports
  • Survey results
  • Contractor reports
  • Any other PDF, image, or document

Validation

Evidence can be reviewed and validated by other users in your organization. Validated evidence improves the data quality score of the associated activity.

Reporting Periods

Each activity entry is associated with a period:

Period TypeDescription
YearRequired — the calendar or fiscal year
MonthOptional — for monthly granularity
QuarterOptional — for quarterly granularity

Monthly or quarterly data enables more detailed trend analysis in your dashboard and reports.
